Details that help firms price the right job
- For installation: current fuel, approximate floor area, property type, insulation and any extension plans.
- For replacement: old make and model, service records, performance problems and components you hope to retain.
- For servicing or repairs: installation date, last service, exact error code and whether heating, hot water or both are affected.
- For surveys: available floor plans, access to rooms and whether you need an independent report or an installer assessment.

What changes the final quotation
Heat loss and hot water demand influence equipment size, but access and the existing installation matter too. Long external pipe runs, lifting equipment, a new electrical circuit, awkward cylinder access or multiple radiator changes all add work. Local labour rates and travel are especially noticeable on shorter maintenance visits.
Compare the design flow temperature and emitter schedule, not only the heat pump’s nominal output. Ask which pipes will stay, what happens to the old boiler or unit, and who makes good holes and disturbed finishes. Any proposed buffer or volumiser should be explained in the design.
Funding should be visible in the figures
The Boiler Upgrade Scheme in England and Wales currently offers £7,500 towards an eligible air-to-water heat pump. An additional £1,500 is available until March 2027 for eligible properties heated by oil or LPG with no mains gas connection. Check the current Boiler Upgrade Scheme grant amounts before budgeting. The installer must confirm eligibility; the grant is not available for replacing an existing low-carbon heating system.
An example eligible project priced at £12,000 before funding would leave £4,500 after a standard £7,500 deduction. That arithmetic does not establish eligibility or mean every project costs £12,000. Ask the installer to separate the full price, confirmed support and balance due on both the quotation and invoice.
Before agreeing to a visit or installation
Check the company’s current insurance, brand experience and relevant qualifications. Establish whether the quotation covers supply, labour, controls, electrical and cylinder work, drainage, commissioning, certificates and waste removal. Confirm payment stages, cancellation terms, exclusions and who handles warranty calls.
Agree the date, expected heating interruption and aftercare arrangements in writing. A repair appointment depends on engineer availability and parts; this form is not an emergency response service.
